Term & Condition
Visa & Passport :
In order for us to confirm your travel arrangements, you must provide all requested details with the balance of the trip price. Necessary details include full name as per passport, date of birth, nationality, passport number, passport issue and expiry date and any pre-existing medical conditions you have which may affect your ability to complete your travel arrangements. Your booking cannot be confirmed without provision of these details.
All clients must have a valid passport with at least 6 months validity from return date. Nepalese visas can be obtained from the Nepalese Consulate in your country or arrival in Kathmandu Airport.
Travel Insurance :
We highly recommend a comprehensive travel insurance package to all our clients. The insurance must cover all the medical expense, personal accident, emergency evacuation, and trip cancellation, loss of gears and natural calamity, theft of or damage to baggage and personal effects etc.
Flight Delay/Cancellation :
Flight Delays or cancellations often occur during bad weather conditions in remote areas, particularly in Everest region, Annapurna, Dolpo, Simikot, and Jumla areas etc. Therefore, it is advisable to carry some extra money to buy food and accommodation in case of a delay. Therefore, please plan properly and put some spare days before booking. Himalayan Encyclopedia is always aware of possible weather conditions, we will update you every time and we will do our best for your flight on time.
Risk & Liabilities :
We are committed to providing the best services which will give you a once in a life time journey. We perform our duties honestly & seriously to make your journey very smooth and pleasant. However, the entire programs in Nepal are conducted strictly under the rules and regulation of their own policies. Himalayan Encyclopedia Treks & Expedition Pvt. Ltd. shall not be responsible for any changes in itinerary due to unavoidable circumstance such as pandemic,epidemics, government restriction, land slide, road blockage, flood, snow political unrest, cancellation of flight, delay, sickness or accident, any extra cost incurring there of shall be borne by the clients on the spot.
Please, kindly attention that our terms and conditions are applicable only if you book your trip with us directly. If you book your trip with us through any agents or third party, you shall be liable to their terms and conditions.
Price Changing :
We reserve the right to revise pricing rate posted at our website, under any circumstances, or on the pressure of various external factors that are further than our control, for instance changes in exchange rate,domestic flight fares,entrance fees, government action etc. But, we put forth effort to keep on the present rate. In case of minor increase in flights fares, hotels or other related factors, we don’t revise the cost of the trip which was already confirmed & booked by deposit.
Incomplete Tour :
No refund will be made to clients who drop out from the journey regardless of whatever portions remain unused in the itinerary. First of all, we never broke the trekking team in between until our last destination as per our itinerary given to you. If any Clients wants to make single trip or wants to depart with team or wants to make trek by making own itinerary, on those condition we, Himalayan Encyclopedia Treks & Adventure do not accept the condition. In such case, the Clients him/her self-need to bear all the expenses during trek made by yourself and need to make your own risk.
Unforeseen Circumstances:
If Himalayan Encyclopedia Treks & Adventure Treks must cancel your trip due to unforeseen circumstances such as pandemics,epidemics,war, natural disasters, conflict, etc., we will endeavor to rebook the tour when possible. If this is not possible, all money already paid to Himalayan Encyclopedia Treks & Adventure will be fully refunded to you, but we will not be responsible for other costs you have incurred related to your trip.
Cancellation Policy :
If our clients not be able to make their any booked trip or want to cancel their program due to any necessary conditions, the company (Himalayan Encyclopedia Treks & Adventure) will refund the amount as per our company rules these are mentioned below.
Any Treks & Tours booked and then want to cancel, following charges will apply:-
No refund will be made for 25% deposit amount in case of cancellation of trip for any reason by your side.
In the event of trip cancellation, you must notify in written to Himalayan Encyclopedia Treks & Expedition; and the following cancellation policies will apply:
- 56 days prior to departure – 75% refund.
- 42 – 55 days prior to departure – 60% refund.
- 29 – 41 days prior to departure – 40% refund.
- 01 – 28 days before departure- no refund
Note: If you want to postpone your booked trip, please inform to our office before 7 days from your trip departure date, we can postpone your trip for same itinerary. In that cause cancellation charge won’t be made.
Cancellation for Tibet & Bhutan :
Cancellation of Bhutan and Tibet Trips 30 days or more before departure will amount to 50 % loss of deposit.
Cancellation of Bhutan and Tibet Trips 39 days or less prior to departure will amount to a 100 % loss of the cost of services booked.
Complaints and issues :
Any complications or issues faced during the trip and complaints regarding the trip package, is to be informed to a guide or a team leader first and foremost. Then he/she shall contact us if necessary and take right actions needed to solve the issue. Himalayan Encyclopedia Treks & Expedition is open to any suggestions or comments regarding the trips which are undertake by our clients, hence they can firmly give us feedback of any kind without prior hesitation.
DURING TOUR AND TREKKING
Some person in the group or individual travelers might be a great pain with the negative attitude and if one commit any unlawful act during treks and tour which compels you to leave Nepal, and the company will not be able to refund you the amount paid in such circumstances.
